The frantic rhythm of modern life every day gives us a lot of different things to do, many of which we, alas, often forget about.

How can you not forget about all your planned activities? Write a memo on your PC, phone or notepad?

But you are not always at the computer, your phone may be far from you, and you may forget to look at your notepad.

In order not to depend on all sorts of unreliable devices and things, the list of planned tasks should be stored where you will always have access to it from any phone or PC.

But not everything is as simple as it seems. There are very few quality tools for maintaining and storing a to-do list. The best ones are quite expensive.

But I can offer you the only optimal solution - free utility Wunderlist. With this wonderful planner with a simple interface in Russian, you won't forget anything.

But first things first. Let me first tell you what Wonderlist is.

What is Wunderlist?

Wonderlist is a task manager that will allow you to plan your day most effectively.

With it you can manage your affairs using a PC or another device (phone, tablet).

With Wonderlist you can:

  • Add new projects and tasks with deadlines for their completion.
  • Group task lists into separate folders.
  • Highlight the most important tasks (the highlighted ones move to the top of the list).
  • Create subtasks to effectively solve the main ones.
  • Write notes for any task, attach photos, tables, files.
  • Search by tasks;
  • Attach a voice message to each reminder.
  • Write your comments to any reminder. If the task is assigned to another person, then you can conduct a dialogue within the task through the comment system.
  • Make marks. Using them, you can put a task on “pause” so that you know from which action to resume its execution.
  • Synchronize data in real time. Thanks to this application manual synchronization will be a thing of the past for you. Everything happens in automatic mode on any devices and platforms.
  • Synchronize tasks and calendar.
  • Receive notifications and push messages by email as soon as any changes occur.

In addition to all this, you can print lists, save them on your computer, or create backup copy information.

And you can get all this completely free. There is also a paid version of Wunderlist, which does not limit the user in any way (you can add files of any size, make any number of subtasks and assignments for subordinates on one task).

How to install Wunderlist?

The Wonderlist program is very easy to install:

  1. Go to official site developers.
  2. Enter to create an account.
  3. Confirm the “soap” by means of a letter received by e-mail.
  4. Download and install the application.

When the installation and launch of the utility is completed, you will see a beautiful interface with a control panel located at the top. Everything is elementary clear there, so I won’t tell you how to use this software.

I have been asked to review Wunderlist and compare it with the functionality of MyLifeOrganized for a very long time. For some reason I didn’t dare, knowing that as an MLO user, I would bend towards the tool I was using on every issue.

I really don’t like it when “some supporters” throw mud at the “other side”, trying to rise at the expense of the other.

The review was successful. But, for balance of views, I built my review from two equal parts:

  1. What I don't like about Wunderlist
  2. What Wunderlist functionality would I like to see in MyLifeOrganized?

5 Wunderlist Features I Didn't Like

No priorities at all

All tasks are dumped into one pile, it is not clear which of them are paramount, which are more urgent... You can only sort the tasks, and even then according to several parameters

What kind of logic is this? It turns out that every time you access the program, you will need to decide which action to take now. And this is instead of just taking it and doing it according to the list.

There is an asterisk that makes the task a favorite. Called “By importance” in the sorting. A weak semblance of priority that is done manually.

They could make at least a couple of “urgent-not urgent” parameters for ordering.

After 7 “Importance” options and 7 “Urgency” options in MyLifeOrganized, this looks sad. Although, for those who are not familiar with the calculated assessment of MLO priorities, such a number will seem overkill.

No ability to create filters

The user is limited only by preset settings and capabilities:

  • you can't focus on any folder (you can view all tasks in just one list)
  • there is a search that can find the tasks you need, but again it's just a search
  • There is no way to save your task filtering settings

There is simply no filtering. And there is so little filtering that I don’t even know what screenshot can be inserted into this section. Simply no!

For repetitive tasks, the settings are simply primitive

How could they treat the repeat function so badly that they didn’t even bother to create a function for selecting several days of the week in the weekly repeat?

What happens is that if I want to record a workout in Wunderlist that happens three times a week on Monday, Wednesday and Friday, I need to create three separate recurring tasks:

  • one repeat on Monday
  • another one repeated on Wednesdays
  • third repeat on Fridays

The recurrence setting option offers the option of recurrence tied to an end date. For example, 1 time every 3 days.

In my opinion, it is very modest to ensure that all the affairs of life are sorted into shelves, and recurring tasks are shown in the active lists with the required frequency.

Not a convenient solution with subtasks

For every task there is an opportunity in free version add 25 subtasks, but that’s not the point.

It’s not clear whether these are tasks or projects? It is not clear whether a task has subtasks or not?

In order to determine this, you need to go into the properties of the task itself, and only there you can see what subtasks it consists of.

As an option for checklists, so as not to produce a huge number of lists - just great! But as an option for projects - there seems to be a task, but it’s not clear what and when to do!

Instead of contexts, it is possible to add hash tags

It seems to be something similar to contexts. In the text you write a word with a # sign and the program recognizes it as a hash tag.

There is only one question - why?

To find in search? It turns out that only for this purpose. We type in the search - and the program displays the entire list with this hash tag:

  • tasks for today
  • tasks without date
  • tasks with a date in the future

In general, again, it came out in one heap, and you, they say, figure it out yourself...

5 Wunderlist Features I Wish MyLifeOrganized Had

There are features in Wunderlist that I like and that I would not mind seeing in MLO functionality.

Linking to a Google account

A modern solution that replaces entering all kinds of keys and passwords. Connect the program to your account and do whatever you want with it (if, of course, you have the rights to do so).

  • convenient when you reinstall the system - no need to bother entering license keys
  • As a visual learner, it’s nice to see an icon with you and your first and last name in the top corner - especially convenient when assigning tasks

Ability to give access to a separate folder

A feature that is missing in MLO. It is much easier to give access to one folder in your system and do business together than to create additional profiles for each common project:

  • shared the working project with those who participate in it
  • shopping list and household chores - with my wife
  • list with content plan - with copywriter

Very convenient - no need to jump from one place to another. For this feature - 5+!

Adding comments to tasks

In addition to standard notes, it is possible to write comments on tasks.

Why comments are convenient, what is immediately visible in them:

  • who wrote (if the list is shared)
  • when wrote (date and time)
  • the system receives a notification that there is a comment on the task

For joint tasks, such a function is necessary.

Again, you can correspond in Telegram or by mail and be no less productive, but the convenience of linking a comment to a task is obvious.

Not critical, but I would like to!

Pop-up reminders that someone has assigned you a task or someone has completed an assigned task

Ease of collaboration! As soon as you assigned a task to another person, a message immediately appeared on all his gadgets that he was assigned to do a certain task.

And feedback, as soon as this person clicks completed, a window pops up everywhere that the task has been completed.

Perfect control for completing tasks!

I would love to see a feature like this implemented in MyLifeOrganized collaboration!

Wunderlist features that didn't interest me

Most features are available in the free version

It’s not entirely clear what the PRO version of Wunderlist has that requires you to pay $5 per month for it.

Especially the feature “Discover 10 additional desktop backgrounds” is exactly what the PRO version should have

The fact that most of the functions were free didn't appeal to me. I need a tool that will help me solve my problems. And if it’s worthy, I’m ready to pay for it.

Ability to add a voice file to a task

We managed to cram something like a voice recorder into the system. I saw this in Evernote, but at least it’s clear why it’s needed. I wonder who stole the idea from whom...

I didn't see any use! It is much more effective when the gadget immediately translates the voice into text. And this turns out to be extra work:

  1. Dictate
  2. Listen
  3. Decide
  4. Write it down as a task

Calendar channel

As I understand it, you can configure the system so that tasks with a date from Wunderlist appear automatically in a calendar, for example Google.

Maybe for some teamwork This works, but I haven’t seen any use for myself.

Summing up the Wunderlist review

Under what circumstances would I switch to Wunderlist?

After using the full functionality of MLO, switching to Wunderlist is virtually impossible. And even if you try to do this, there will be a lack of something in every function.

If you were choosing your first scheduler, Wunderlist would attract you with its free functionality and the ability to synchronize between all gadgets. But I don’t know how long I would have lasted on it. I think that in parallel there would be a constant search for an instrument that could reflect my life as realistically as possible.

It’s a pity that Wunderlist was sold (or bought), and now the To-Do planner from Microsoft is being developed on its basis.

Why I prefer MyLifeOrganized

  • unlimited folder, project and task structure
  • the scheduler itself organizes the list of active actions according to the calculated estimate, which takes into account not only the priorities of the task itself, but also the priorities of the folders and projects in which this task is located
  • the ability to concentrate on the desired direction (folder, project)
  • flexibility of settings, the ability to change standard views and create your own

Today I have prepared for you interesting review two of the most popular cloud task management solutions.

But first, a little background to understand why today more and more people are switching to such services and abandoning paper diaries.

I think you've noticed that the world has sped up dramatically lately. mobile connection, Internet, social networks - over the past 10 years, communication between people has become so much faster and cheaper that this could not but affect overall speed all processes occurring in society.

Someone once calculated that the amount of information that is published today in a top weekly magazine contains as much news as a person who lived just 200 years ago learned in his entire life!

Yesterday, my wife and I invited a massage specialist (~50-year-old woman) to our home. During the session, she herself started talking about how rapidly everything is changing today and how much life has accelerated. Comparing her life in Soviet times and now, she admitted that, compared to today, then everything was much calmer and there was no race.

On the one hand, it’s good that everything is changing and developing so quickly, but this acceleration of life also has a downside.

Many people simply cannot cope with the flow of information, tasks, ideas, and opportunities that fall on them. At every corner there is a fight for our attention, for our time.

As a result, more and more people fall into the trap of procrastination, lack of priorities and poor self-discipline. It seems like I’m constantly busy with something, but there are no results.

Therefore, now the ability to effectively manage your time comes to the fore. Be able to distribute it so that the really important things that move us forward are done first, and only then everything else.

Time is our most valuable resource. It cannot be replenished and at the same time there is a constant struggle for it.

Now let's figure out why services and applications are now actively appearing that allow you to keep lists, plan your day and collaborate, and why more and more people are starting to use them.

If we take one of the most known systems time management - GTD (how to put things in order), then we will see that David Allen, the creator of this system, invites us to free our minds from memorizing tasks by transferring them, along with reminders, to an external medium. Such a carrier can be an ordinary notepad.

In this way, the mind, freed from remembering what needs to be done, can concentrate on completing the tasks themselves, which must be clearly defined and formulated in advance. At the same time, he suggests storing all documents in a system of 43 folders.

But this system was created by him more than 20 years ago and therefore suggested recording all tasks on paper and storing documents in physical folders. And this already caused certain difficulties. If, for example, a person needed to go to another city for several days, then he had to take all these 43 folders with him in order to continue working on the system.

Over these twenty years, progress has come a long way, and today many documents have become digital, and the need for paper diaries has essentially disappeared.

Today more and more people are switching to cloud services case management and information storage. The idea is that you have a single account that you can access from all your devices. You can interact with your to-do list via your computer, smartphone, tablet or laptop. And if you made some changes on one of the devices - for example, added a task, then these changes will immediately be visible on your other devices. This is achieved through synchronization.

Moreover, inside each task you can store all the information related to it, attach files, add subtasks and open access to it to other people.

For example, I have been using this task manager for several years now and have already forgotten what paper diaries are. Many of my friends and colleagues did the same. This is both more convenient and allows you to really free your head from storing a large amount of information. Today I was reading the Lifehacker website, and there was a review of another new product on this front. So, the article there began with the following phrase: “A convenient and functional task planner is now a mandatory attribute of the life of a successful person.”

Now let's look at the most popular cloud task managers today.

During my practice, I have tried many different task management solutions. Here are just a few of them:

Each of these solutions deserves attention, but I thought it would be better if I talk in detail about the two most popular solutions today, which are used by millions of people around the world. These two services outperformed all other options by a wide margin.

So, our first hero:

A project that appeared in 2007 and has been constantly developing since then. By 2013, the number of ToDoist users reached the coveted figure of 1,000,000 users, and today, according to some data, there are already more than 4,000,000.

ToDoist has a light and simple interface and at the same time good functionality. Available for all modern platforms.

Adding tasks and projects.

The ability to give access to a project to anyone - colleagues, friends, family members - to collaborate on common plans and goals.

Breaking down tasks into subtasks. By breaking major tasks into smaller subtasks, it becomes easier for us to complete them.

Due dates in words. You can set a due date using plain language, such as "Monday at 2 pm."

Powerful tool for recurring dates. Set due dates quickly using simple language, such as "every day at 2pm."

What are the disadvantages of ToDoist?

The first disadvantage, as you most likely already understood, is that most of ToDoist's functions are only available in the premium version, which is this moment costs 1199 rubles. (~$25) per year.

The second disadvantage is that sometimes in ToDoist there are incomprehensible errors that spoil the whole impression (example).

Otherwise everything is fine.

Overall, to sum it up, I can say that ToDoist is a worthy choice with rich functionality, good usability and modern design. If it were not for Wunderlist, then I would use ToDoist in its premium version as my task manager. Some of my colleagues use it.

Pros: Available for all platforms, gamification, ease, functionality, design.
Minuses: All the main features are only in the premium version, sometimes there are errors.

Now let's move on to the main character of our review:

So we’ve come to a tool that my team and I personally have been using for three years now, and we have no plans to move from it yet. The service is called Wunderlist. This is the development of the German programming team 6 Wunderkinder GmbH.

Wundelist currently has 13 million users worldwide, and the company's CEO, Christian Reber, has set a goal of reaching 100 million in the near future. To do this, the company launched special APIs this month that allow Wunderlist to be integrated into other services.

Wunderlist is similar to ToDoist in many ways. Almost the same functionality, easy and intuitive interface, instant synchronization, team work capabilities, but almost all functions in Wunderlist are completely free.

Wunderlist is currently available for the following platforms: iPhone, iPad, Android, Windows Phone, Windows 8, Windows 7, Mac, Chromebook, Kindle Fire and accessible via the Web.

Key features of Wunderlist:

Ability to group task lists into folders.

Adding tasks and projects (lists).

General lists. Wunderlist allows you to create collaborative lists. Very convenient for delegating tasks.

Setting a deadline for completing a task.

Subtasks. Achieve more by breaking big tasks into smaller subtasks (multi-level).

As you can see, Wunderlist offers almost all the same features as ToDoist, but all of these features are available for free.

To be fair, Wunderlist has Pro version, which adds only minor changes:
+ 30 background images instead of 20 in the free version.

Unlimited number of subtasks that can be added to one task. In the free version you can add 25 subtasks.

You can attach a file of any size to a task. In the free version max. 5 MB per file.

You can assign an unlimited number of people to one task list. In the free version there are 25 appointments.

To be honest, in three years of using this service, I have never felt the need for the Pro version, despite the fact that we also use Wunderlist for team work of 10 people.

By the way, one more important point. Just recently, Microsoft acquired Wunderlist. However, the application will still remain available on various mobile platforms, as well as in the web version. The development team will remain in Berlin, and the company's management will remain the same. Plus, the app will also feature a number of new features and integrations for various partner platforms.

Perhaps we should expect that in one of the nearest Windows versions, Wunderlist will become the system's built-in task scheduler.

What are the disadvantages of Wunderlist?

For me, Wunderlist has only one drawback - the lack of gamification, which I liked so much in ToDoist. Gamification is an excellent motivation tool, so in my opinion, it should definitely be used in task managers.

Pros: Available for all platforms, lightness, functionality, design, free.
Minuses: Lack of gamification.

Once upon a time, Wunderlist was just a list of tasks. Now the application can do much more than just remind you of plans, but at the same time it has not lost its lightness and simplicity.

Task structure

The basis of work in Wunderlist is the to-do list. This is a project within which individual tasks are created. For each of them, the execution time and notification period are set. Set reminders for recurring events: once a day, week, month and year. Free customization available. You can set reminders after a few days.

Lists (projects with multiple tasks) are organized into folders that separate family, work, hobbies, and whatever else you need. For some, two levels are not enough, but if you don’t go crazy planning every step, this is what you need.

Each task is divided into subtasks. In the free version there are no more than 25 subtasks, in the paid version the number is unlimited. Subtasks are not displayed in the general list; they cannot be distributed by importance and urgency. This is a self-assessment checklist to make sure you haven't missed anything.

You can add a note to a task, attach a file (in the free version up to 5 MB per file, in the paid version there are no restrictions).

Hashtags are added to the task names, which make it easier to search for uncompleted tasks.

Checklists

Scheduled tasks form several checklists.

  • Today. Daily tasks that you want to do today.
  • Marked. These are the tasks that you highlighted with an asterisk when setting them. The things you need to focus on first.
  • A week. A to-do list for planning a few days ahead.

Delegation and collaborative editing of lists

Each list can be shared with multiple application users. They will be able to view tasks, add comments to each of them, and close completed tasks.

You can assign a task executor from among the users who have access to the list. A notification is sent about the assigned task, the task remains on your lists, so you can always monitor its completion.

Desktop and mobile versions

Wunderlist is a cross-platform application. The design in the mobile and desktop versions is not much different, except that you have to make an extra tap on the smartphone screen to set the deadline for completing the task and the notification date.


pros

  • Wunderlist is easy to learn. The planner solves simple problems: keep track of what has been done and what has not been done. It is not overloaded with functions, so everything important is learned in 20 minutes.
  • In the application simple structure tasks. Not enough for a project management program, but these functions are enough to organize the main tasks.
  • Delegation and collaboration on lists. The functions may not be enough for work, but for everyday issues it is an ideal solution.

Minuses

  • You cannot postpone a task for an hour or another day in the desktop version. To do this, you need to change the task due date and set a new notification time. IN mobile version You can reschedule notifications for a few minutes or an hour.
  • You cannot schedule multiple notifications for the same task within one day.
  • You cannot mark the start and end dates of a task.

Wunderlist is primarily a to-do list, not a project management program. It’s convenient to control and check yourself, but it doesn’t tie your entire life to an app on your smartphone.

This is a balanced application for those who want to remember everything, but are not ready to turn planning their day into a separate task.

Wunderlist Features

You can add subtasks, notes, photos, audio and other files to a task.

When there are a lot of tasks, they can be grouped into lists, and lists into folders.

Using a hashtag (#), you can set tags, which gives additional opportunity grouping tasks and finding the tasks you need.

There is also a system for searching tasks by keywords. Unfortunately, the search only works for uncompleted tasks: tasks marked as completed are not displayed in the search results. But the completed tasks themselves are always stored in Wunderlist, so they can be viewed at any time.

You can set the task completion date and task reminder time. Wunderlist will notify you via email or push notification about the scheduled task.

Tasks that have a due date are automatically included in "Today" lists And "A week", which greatly simplifies creating a plan for the day and week. You can also customize the display of Wunderlist tasks in emails. iCal calendars, Google, And Outlook, which allows you to see tasks with deadlines not only within the next seven days, but over any period of time.

By marking tasks with a star, you can set priorities. Marked tasks are automatically displayed in "Selected" list, this allows you to always remember the most important matters.

You can share task lists with other people, which makes it possible to assign tasks to subordinates and manage other people through Wunderlist. You can comment on tasks and discuss them with people who have access to your lists.

In 2015, Wunderlist joined Microsoft. From there, the Wunderlist team began working on creating a task manager integrated into Microsoft Office.

In April 2017, Microsoft To-Do became available for use. Wunderlist will eventually be shut down, so its development will stop.
